You have the right to delete your Elaka Food City account and the personal data associated with it. This page explains exactly how to request deletion, what happens to your data, and why we are legally required to retain certain records even after your account is closed.
We handle all deletion requests in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and HMRC record-keeping obligations applicable to UK businesses.
You can request account deletion through either of the following methods:
The fastest way to delete your account is from within the app or website. Navigate to your account settings, scroll to the bottom of the page, and select “Delete Account”. You will be asked to confirm your decision before anything is removed. Once confirmed, the deletion process begins immediately.
If you are unable to access the app or website, you may send a deletion request by email to info@elakafoodcity.com from the email address associated with your account. Please include “Account Deletion Request” in the subject line. We will process your request and send you a confirmation within 30 days.
Please note
For security purposes, email deletion requests are subject to identity verification. We will only process requests sent from the email address registered to the account.
When your account is deleted, the following personal data is removed from our systems:
Where technically feasible, deletion occurs within 30 days of your confirmed request. Certain data may persist in encrypted backup systems for a limited period before it is overwritten in line with our standard backup schedule, but it will not be accessible or used for any purpose during that time.
UK law places certain obligations on businesses to retain financial and transactional records regardless of whether an account has been deleted. The right to erasure under the UK GDPR does not override these legal obligations. Specifically, we are required to retain the following:
We retain a record of each order you placed, including the items purchased, quantities, prices, payment method, delivery address (at the time of the order), and transaction reference. These records are required for tax and accounting compliance under HMRC guidance.
Retention period: 6 years from the end of the financial year in which the transaction occurred, as required by HMRC for limited companies under the Companies Act and Corporation Tax Act.
For card payments, we retain the Stripe transaction reference identifier and payment status. We do not hold your card number, expiry date, or CVV at any point. These references are needed to handle any disputes or chargebacks. Card networks permit cardholders to raise a dispute up to 120 days after a transaction, and in some cases longer, so records must be available throughout this window.
Retention period: Retained as part of the order record for 6 years in line with HMRC requirements. The legal basis is compliance with financial record-keeping obligations and the defence of legal claims.
Where records are retained for legal compliance, we anonymise or remove any data that is not strictly necessary for that purpose. For example, the delivery address associated with a completed order is retained as part of the fulfilment record but is no longer linked to an active user account or profile. Your name may be retained on the order record as it forms part of the transactional document, but it is not accessible to you or to other users, and it is not used for any purpose other than compliance.
Account deletion is a permanent and irreversible action. Once your account has been deleted:
We recommend downloading or noting any information you wish to keep, such as order details or addresses, before requesting deletion.
If you are considering deleting your account for reasons other than leaving the service entirely, the following alternatives may be helpful:
